Job Description

Role Summary: The Exhibition Production Manager is responsible for the full technical, operational, logistical, and on-site execution of large-scale exhibitions. The role oversees venue preparation, infrastructure installation, contractor management, exhibitor operations, visitor systems, HSE compliance, and live event delivery. This position requires an engineering-level understanding of exhibition operations.

Key Responsibilities

First: Project Planning & Coordination

  • Lead end-to-end planning for exhibitions, including timelines, schedules, and resource allocation.
  • Translate client briefs into actionable production and operational plans.
  • Conduct site visits to assess venue infrastructure, hall layouts, logistics, and technical requirements.
  • Prepare detailed event decks, CAD layouts, production workflows, and risk assessments.
  • Coordinate permits, insurance, licensing, and regulatory approvals.

Second: Venue, Infrastructure & Technical Production

  • Coordinate all venue-related preparation: booth structures, hall layouts, utilities (electricity, water), signage, flooring/carpets, and build-up/break down.
  • Manage technical production: staging, AV, lighting, rigging, power distribution, generators, and temporary structures.
  • Review and approve technical drawings, method statements, and production specifications.
  • Ensure the venue infrastructure meets aesthetic, technical, and safety standards.

Third: Contractor, Vendor & Procurement Management

  • Manage suppliers including booth builders, decorators, AV/IT providers, rigging, cleaning, security, and logistics contractors.
  • Lead procurement, vendor negotiations, budgeting, and cost tracking.
  • Ensure delivery quality, adherence to contracts, and timely execution.
  • Oversee material delivery, fabrication, and installation timelines.

Fourth: Operations, Logistics & Onsite Management

  • Oversee manpower planning, transportation, equipment delivery, warehouse flow, and logistics.
  • Develop event run sheets, routing plans, traffic plans, and onsite operations manuals.
  • Manage FOH/BOH operations, accreditation, signage placement, and backstage areas.
  • Lead on-site supervision during build-up, event days, and dismantling.
  • Troubleshoot real-time operational challenges to ensure seamless execution.

Fifth: Exhibitor Management & Visitor Experience

  • Act as the main point of contact for exhibitors.
  • Manage exhibitor onboarding, booth bookings, guidelines, manuals, and service requests.
  • Ensure smooth exhibitor operations from build-up through event execution.
  • Oversee visitor registration systems (online & onsite), ticketing, badge printing, customer service, and queue management.
  • Ensure high visitor satisfaction and quick resolution of issues.

Sixth: IT, Digital Systems & Technology Support

  • Manage all digital systems including registration platforms, CRM, mobile apps, and lead capture tools.
  • Ensure stable IT infrastructure, WiFi coverage, and onsite technical support.
  • Coordinate with AV/IT vendors for integration across the venue.

Seventh: Protocol, VIP Relations & Government Coordination

  • Coordinate with government officials, ministries, embassies, and high-profile guests.
  • Manage protocol procedures, opening ceremonies, VIP tours, and special delegations.
  • Ensure secure, seamless, and professional VIP experience.

Eighth: Quality Control, HSE Compliance & Reporting

  • Implement HSE procedures, safety regulations, emergency plans, and evacuation procedures.
  • Conduct safety inspections during build-up and breakdown.
  • Manage security planning, guard deployment, and incident response.
  • Maintain comprehensive project documentation, permits, schedules, vendor lists, and technical files.
  • Deliver post-event reports highlighting achievements, challenges, and improvements.
  • Oversee financial reconciliations, invoices, and final budget closure.

Required Skills & Qualifications

  • Strong background in event production, operations, or technical management.
  • Experience managing large-scale events, festivals, exhibitions, sports events, or corporate shows.
  • Excellent communication and leadership skills with the ability to manage large teams.
  • Strong understanding of AV, staging, rigging, power distribution, and temporary structures.
  • Ability to thrive in high-pressure, fast-paced environments.\
  • Proficiency in project management tools, CAD/event layout software is a plus.
  • Strong budgeting, negotiation, and vendor-management abilities.
  • Knowledge of HSE standards, permits, and operational planning.
